Position Objectives:

*SUMMARY

Maintain city’s accounts payable records. Provide responsible financial assistance to the Finance Office, city departments, and City Council. Reviews and processes expenditures and invoices, issues checks and maintains vendors. Assist Mayor and Council with tasks as directed by Finance Officer.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned by supervisor that are appropriate to this job description.

    • Performs general city financial activities involving the processing of invoices, reviewing all department invoices for accuracy and identifying and tracking of unusual transactions
    • Serves as backup for Accounts Receivable
    • Greet the public and assist customers in resolving problems; answer telephones, take messages, and direct customers/employees to appropriate department/personnel
    • Maintain postage meter usage and issue payment
    • Process credit applications and maintain records
    • Issue, maintain and discontinue City issued credit cards for Departments Heads
    • Cross train with other Finance Office duties as directed by Finance Officer
    • Maintain titles, license plates and registrations for City vehicles
    • Maintain vendor lists including the entry of new vendors for City departments
    • Maintain accurate W9 and 1099 records
    • Maintain office supplies for Finance Office
    • Maintain compliancy with regulations, local ordinances and federal and state laws and verify information with department heads as pertinent to duties
    • Maintain files for newspaper ads, public notifications, minutes and affidavits of publication

Minimum Requirements:

  •          Valid Driver’s License
  •          Ability to become a Notary Public

Desirable Training and Experience:

  •          One-year certificate from college or technical school;
  •          or three to six months related experience and/or training;
  •          or equivalent combination of education and experience
  •          Must possess a working knowledge of accounting
